Free Digital Warranty & Purchase Tracker — Never Miss a Warranty Again

I bought a Samsung refrigerator in March 2022. It developed a compressor fault in February 2024. I spent two weeks negotiating with a repair technician, agreed to pay $340 for the repair, and had the work done. Three days after paying, my wife found the original purchase invoice in a kitchen drawer. The refrigerator had a five-year warranty. The repair was completely covered. I had paid $340 that I did not need to pay, simply because I did not know the warranty was still active. That experience is the reason this Digital Warranty & Purchase Tracker exists on ToolsCoops.

The problem is almost universal. A typical household owns thirty to fifty products under active warranties at any given time — smartphones, laptops, televisions, refrigerators, washing machines, dishwashers, ovens, cameras, gaming consoles, power tools, and more. Each has a different warranty period. Each started on a different date. The documentation is scattered across email inboxes, physical filing cabinets, cardboard boxes, and the backs of drawers. Most of it gets lost within six months of purchase. This tracker solves that problem in under two minutes.

✅ What This Tool DoesTracks unlimited products across 11 categories. Shows live countdown of warranty days remaining. Generates clean PDF warranty cards in a popup window (no website header or sidebar). Exports all records to CSV for Excel or Google Sheets. Calculates cost-per-day for each product. Filters by category, sorts by expiry, and searches by name or brand. All data stays in your browser — nothing is sent to any server.

New Features in This Version

This updated version of the ToolsCoops Warranty Tracker includes several features that make it significantly more useful than the original release and more powerful than most dedicated warranty apps:

  • Quick Warranty Duration buttons: Instead of manually calculating and entering an expiry date, click 3 Months, 6 Months, 1 Year, 2 Years, 3 Years, or 5 Years and the expiry date is calculated and filled in automatically from your purchase date.
  • Cost Per Day calculation: Each product card shows the cost per day of use — purchase price divided by the total warranty period in days. This metric helps you understand the real value of each purchase and compare different products objectively.
  • Priority tagging: Mark products as High Priority or Low Priority to help you focus on what matters most when warranty periods approach their end.
  • Support contact field: Store the manufacturer's support phone number or claim URL directly with each product record. When you need to make a claim, all the information is in one place.
  • 11 product categories: Including the new Camera, Gaming, and Tools categories alongside the original Electronics, Appliance, Laptop/PC, Vehicle, Furniture, Clothing, Jewellery, and Other.
  • Sort by value: In addition to sorting by expiry date, purchase date, and name, you can now sort by purchase value to see your highest-value assets first.
  • Duplicate record: Clone any existing record with one click to quickly add a similar product without re-entering all the details.
  • Total asset value dashboard: The stats bar now shows the total purchase value of all tracked products, giving you an at-a-glance portfolio view.
  • Clean PDF popup: The Print Card function opens a clean popup window with only the warranty card content — no website header, no sidebar, no navigation. Save as PDF from that window for perfect results.
  • CSV export: Download all your warranty records as a CSV file that opens directly in Microsoft Excel or Google Sheets for further analysis or backup.

Understanding the Warranty Status System

StatusConditionAction Recommended
✅ ActiveWarranty valid, more than 30 days remainingNo action needed. Check product periodically for issues.

❌ ExpiredWarranty period has endedCheck if extended warranty applies. Consider third-party repair coverage.

How to Use the Warranty Tracker — Step by Step

  1. Enter the product name and category — The name and category are the two most visible fields on your product card. Be specific: "Samsung 65" QLED TV" is more useful than "TV" when you have multiple items.
  2. Add brand and serial number — The serial number is essential for warranty claims. Many manufacturers require it to verify coverage. Store it here so you always have it accessible.
  3. Set purchase date and warranty expiry — Enter the exact purchase date. Then either enter the expiry date manually or use the Quick Duration buttons (1 Year, 2 Years, etc.) to calculate it automatically.
  4. Enter purchase price — The price enables two features: the total asset value in the dashboard and the Cost Per Day calculation on each product card.
  5. Add support contact and notes — Store the manufacturer's customer support number, the warranty claim URL, the receipt number, and any warranty terms. This is the information you will desperately need when something goes wrong at 9pm on a Sunday.
  6. Upload brand logo (optional) — A logo makes your product cards visually scannable. You can instantly identify Samsung from Apple from Bosch without reading the name.
  7. Click Add Product — The record appears immediately in your list with full status calculation, progress bar, and cost-per-day metric.
  8. Use Print Card for permanent records — For important high-value items, click Print Card and save the warranty card as a PDF. Store it in a digital folder named "Warranties" alongside your purchase invoice. This PDF is your claim documentation.
  9. Export CSV monthly — Click Export CSV once a month and save the file. This gives you a permanent offline backup of all your warranty data.

The Financial Case for Warranty Tracking

Let me put numbers on the value of this tool. The average cost of a smartphone screen repair outside warranty is $200–350. A washing machine repair is $150–400. A laptop motherboard replacement is $300–600. A refrigerator compressor replacement — as I discovered personally — is $300–500. If you own all four of these products simultaneously, and each fails once during its warranty period, tracking their warranty status properly could save you $950 to $1,850 in repair bills. That is the financial return on two minutes of setup time in this tracker.

For businesses, the financial stakes are higher. A company with 50 laptops and an average laptop value of $1,200 has $60,000 in hardware assets. Tracking warranty status on all 50 laptops and filing replacement claims on the ones that fail within the warranty period rather than paying for repairs can save thousands annually. The Export CSV feature makes it straightforward to integrate this data into business asset management spreadsheets.

💡 The 30-Day RuleWhen the Expiring Soon badge appears on a product, do not wait. Set aside 30 minutes to inspect that product thoroughly. Turn it on, test every function, look for any issues. If you find anything wrong, contact the manufacturer or retailer immediately. A claim filed on day 29 of a 30-day expiry window is just as valid as one filed on day one. Waiting costs you nothing. Missing the window costs you everything.

What the Cost Per Day Metric Tells You

The Cost Per Day figure on each product card is calculated as: purchase price divided by the total number of days in the warranty period. For a $1,200 laptop with a 365-day warranty, that is $3.29 per day. For a $800 smartphone with a 730-day (2-year) warranty, that is $1.10 per day.

This metric has two practical uses. First, it helps you compare the relative value of different purchases. A $600 appliance with a 5-year warranty at $0.33 per day is objectively better value than a $400 appliance with a 1-year warranty at $1.10 per day. Second, it contextualises repair decisions. If your $0.33 per day appliance needs a $150 repair and has 500 days of warranty remaining, the warranty coverage is worth $165 in replacement value — making the warranty claim clearly worthwhile.

Privacy and Data Security

All data entered into the ToolsCoops Warranty Tracker stays entirely in your browser's session memory. There is no server communication, no cloud storage, no account creation, and no data collection by ToolsCoops. Your product names, serial numbers, purchase prices, and personal notes are never transmitted anywhere. When you close the browser tab, the session data clears.

This is intentional. Product serial numbers combined with purchase information are sensitive data that could theoretically be used to fraudulently file warranty claims. By processing everything locally and never storing data on servers, we eliminate any risk of that data being exposed. We recommend using the Export CSV feature monthly and saving warranty card PDFs for all high-value items as your permanent record-keeping solution.
